How to use this site

A guide for staff — raising a swap request, recording overtime, and running the treatment roster.
You are not signed in. You can read this page and look at the rosters, but you cannot submit a request, see the request lists or edit anything until you sign in. Sign in now.

4 Overtime & time off in lieu

OT is overtime you have worked; OTL is time off you have taken against it. Both are recorded on OT records in the menu, and what you record counts straight away — there is no queue and nobody has to approve it.

Signed in only. Unlike the rosters, this page does not open at all to a visitor who is not signed in — it sends you to the sign-in page. Once you are in, any account may read it, record a request and cancel one it recorded.

Finding your own list

One row carries two sets of tabs. On the left is the group: RT II and RT I & Dosimetrist — choose the list you are on. On the right is the page: Staff hours, which is everybody's balance, and OT / OTL requests, which is the list of individual entries with the number in this month beside it.

Above both is the month. Everything on the page — the balances, the days, the list — is that one month, so if a request you are looking for is not there, check the month first. The round arrow beside Apply filters clears the filters again.

Staff hours: the balance on the left, then the month day by day. The figures here are examples.

1 March 2023. OT will be directly counted from your off duty time by every 0.5 hr (e.g. 17:00–18:38 = 1.5 hr). The department's rules for counting OT are repeated at the foot of the OT page, under How OT is counted.

Recording OT or OTL

  1. Press + at the top right. Hovering over it names it — + New request. It opens the form at the top of the OT / OTL requests page.
  2. Name. Your nickname, from your own group's list.
  3. OT or OTL. OT adds hours to your balance; OTL takes them off. This is the one field to read twice.
  4. PL or RX. Planning or treatment — which side of the department the time was worked on.
  5. Days. One row for each day. Date is the day the work was done; start and end time are two dropdowns each, hour then minute, in 24-hour time — 17:00, not 5:00 pm. Minutes are on the quarter hour: 00, 15, 30 or 45. A row is one sitting inside one day, so the end time must be later the same day than the start; a stretch that ran past midnight is two rows, one on each day.
  6. Hours fills itself in from that row's two times and cannot be typed into. The site works it out again when you submit, so the hours saved are always the hours between the times you chose.
  7. + Add another day for a run of days. The new row opens on the next day at the same times, so two days of 09:00–17:00 take one press and no typing; change what does not fit, and × at the end of a row takes it off again. The line beside the button keeps the running count — “2 days · 16 hours in total.” Up to 14 days go in one request.
  8. Reason, or the senior informed. You need one of the two, and can give both — and they apply to every day in the request. The senior list is the twelve SRT and SDos by nickname.
  9. Submit request. You land back on the list, with one entry for each day you listed and the balance already moved.
Name, OT or OTL and PL or RX are chosen once; the days box below them holds a row for each day, and the reason or senior at the foot covers all of them.

Each day becomes its own entry on the list, so a day entered by mistake is voided on its own and the others stay. Two sittings on the same day are two rows with different times, which is fine; the same day at the same times twice is refused, so the hours can never be counted twice.
The line above the button says what is about to happen — “Submitting will add 1.5 hours immediately.” If it says deduct when you meant to add, the OT / OTL field is the wrong way round.

Reading your balance

On Staff hours each person is one row: Opening is what was carried in at the start of the month, Workbook net is what September's own sheet already held, New OT and New OTL are what has been recorded here, Month net is the two of them together, and Balance is the opening plus that net — the figure you are owed. Beside them the same month runs day by day: a dot is a day with nothing on it, and a negative figure is time taken back.

A yellow dot beside a balance means 20 hours or more have built up. Nothing is stopped by it and no request is refused because of it — it is there so a balance worth taking back as time off is easy to spot down a long list.

September's opening balances and its daily figures came from the department's own OT workbook, so the page starts where the workbook left off rather than at nought.

Cancelling one

Every entry recorded here carries a Void link in its Record column, and anybody signed in can use it — you do not have to be the person who recorded it, or be at the same computer you recorded it on. It asks you to confirm first, and names the request it is about: Ruby · 28/09/2026 · OT +1.5 h.

Say yes and the entry leaves the list and the hours at once. It cannot be undone and it cannot be done twice: to correct an entry, void it and record the right one.

The request list, twenty to a page. Rows marked Workbook came from the OT workbook and are read-only; rows marked Recorded were entered here.

Moving through the list

The list shows twenty requests a page, newest date first, with Previous and Next above and below it; the left and right arrow keys do the same thing. The Name and Record type filters narrow it, and a name on the Staff hours page is a link straight to that person's entries.

Rows tagged Workbook are the September import and cannot be changed here — they keep the date, time and hours the workbook recorded.
